Job Description

We are seeking a competent individual to oversee the efficient administration of the Facilities Department. The successful candidate will ensure effective record control and smooth departmental operations.

Key Responsibilities :

Parking :

  • Monthly invoicing of all parkers for rental fees
  • Send letters of demand to tenants for late payments
  • Reconcile payments with bank statement
  • Process debit orders
  • Allocate parking bays as and when required
  • Draw up lease agreements
  • Create and maintain an updated database of all agreements
  • Issue access cards and open accounts on the system for tenants
  • Ensure bays are marked and assigned according to company / person

Processing Invoices :

  • Ensure timely receipt of invoices from suppliers
  • Process invoices before month-end
  • Issue purchase orders as required
  • Keep track of supplier spending per supplier for record-keeping

Agreements & Supplier Forms :

  • Issue supplier forms upon request, and ensure the correct documentation is received on time
  • Check the pack for accuracy and forward to the Finance Department
  • Liaise with the Legal Department for all Non-Disclosure and Service Level Agreements that require signing

Building Committee :

Draft the quarterly agenda, record accurate minutes, and distribute them to committee members on time

Qualifications and Experience :

  • Minimum of Matric qualification
  • Intermediate-level Excel skills is essential
  • Financially oriented with the ability to work with figures is essential
